We pick a day , a city and hotel ask vollunteers to do the various tasks and collect money from all willing participants. We make sure to pick a site that can handle all the Laptops and desktops and ethernet gear that we would need for all of us to do our things. Set up a server, use the instant action universe [trion(?), hellseye (?), and the other (?)], allow as many users as the limited universe could allow, and use it as a chat room.
